The members of the IRES Department of the Science Training and Research Unit ("UFR"); teachers and teacher-researchers (College A); secondary school teachers attached to the IRES (College B); administrative and technical staff (College IATSS) are called to elect their representatives to the Department Council ("Council").

How to consult the electoral lists (as of February 9, 2023) or apply for registration on an electoral list
As of February 9, 2023, the lists of voters will be posted at the UFR headquarters (first floor of the administrative building on the St-Charles campus) and will also be available on the UFR Intranet (accessible after logging in).
They will also be available in each polling station on election days.

2 - If you do not appear on the lists
Registration on the electoral roll is carried out automatically or on request. The conditions for registration are specified in the electoral by-laws.

3 - If you found a polling station error
If your name does not appear on the correct electoral list, please report it as soon as possible by e-mail to: sciences-elections@univ-amu.fr.
For information, students are attached to the polling station corresponding to their place of administrative registration.
Staff members vote according to their place of work (and more precisely according to the location of their laboratory in the case of researchers and teacher-researchers).-

How to apply?

1 - Conditions to be met
Each list must necessarily include the name of a delegate who is also a candidate of the list concerned.
As a preliminary remark, the voting method "list with one round of votingby proportional representation with the distribution of the seats remaining to be filled according to the rule of the strongest remainder, without panachage" implies that the candidates are constituted as a list and not as individuals (except in the case where only one seat would be to be filled).
The lists of candidates will be constituted by college;
The lists of candidates include a maximum number of candidates equal to the number of seats to be filled;
The lists are composed alternately of one candidate of each sex;
Moreover, the lists of personnel may be incomplete, provided that the conditions mentioned above are respected.

2 - Documents to be completed
The slate delegate must complete the following form:
- List of candidates for the Department Council (to come)
This document must be accompanied by an individual declaration of candidacy signed by each candidate, mentioning his or her rank on the list and, for students, a photocopy of the student card or, failing that, a certificate of attendance.

3 - When to submit a list
The lists of candidates may be submitted until Wednesday, February 22, 2023 at 12:00 noon.
It is strongly advised not to wait for the deadline to proceed with the submission of the lists in order to allow, if necessary, the compliance of the lists containing irregularity(ies).

5 - Resources available to lists of eligible candidates
The RFU provides the lists with certain means described below. The delegate of the list will contact the administration of the RFU via the email address sciences-elections@univ-amu.fr to use these different communication tools.
The administration will guarantee equal access to these means between the lists.
In compliance with the provisions of the University's internal regulations and in particular Title 1, any intervention related to the electoral campaign must not disrupt the smooth running of academic activities.
During the electoral campaign, propaganda is authorized within the university premises, outside the buildings in strict compliance with the measures put in place concerning access to the sites and buildings as well as with the barrier gestures as defined during this period.
On the day of the election, the distribution of leaflets is authorized in the buildings, with the exception of the rooms where the polling stations are established.
Strict equality is ensured between the lists of candidates, in particular with regard to the distribution of places reserved for electoral posters and, if necessary, meeting rooms and all electoral material.
However, and given the current health context, the election campaign by dematerialized means should be favored.
- Distribution of the professions of faith
Each list shall send a profession of faith no later than Wednesday February 22, 2023 at 12:00 pm
The credentials must be A4 format, in black and white, one or two pages on one side, without photographs.
They will be distributed electronically to the voters and will be put on line on the internet page of the website of the RFU dedicated to the list of candidates.- Electronic messages
Each list declared admissible can send, through the administration, electronic messages using the institutional mailing lists. These messages are a maximum of 2 for the users' colleges and 3 for the staff colleges.
Attention: in order to ensure the proper distribution of e-mails, the size of messages received by the administration must not exceed 500 kb. These messages must not contain any attachments.
- Meetings
The lists of eligible candidates may organize up to three public meetings within the framework of the campaign (video-conference rooms will be made available as long as they are not occupied by teaching).
The time slot may not exceed two hours per meeting.
The administration is responsible for opening, if necessary, the virtual meeting room and for closing it at the end of the predefined time slot.
The delegate of the list is responsible for the good conduct of the exchanges.- Web page
Each list of candidates declared admissible will be able to feed a web page dedicated to the diffusion of information of the list on the website of the UFR. The transmission of documents in PDF version should be preferred.

1 - You are a student

1.1 - You wish to go to a polling station on election day
You must go to the polling place according to your administrative registration site.
2 polling stations will be located on the following sites:
- St-Charles site: site management room, Building 7
- Luminy site: room 2.23 block 2 of TPR2
Advice: check your registration on the electoral lists and your polling station before the day of the vote.
Some students will have to choose the department in which they will vote when they enter the polling station: these are students registered in AMNS*, L1en2ans, Curie/ Descartes/Pasteur portals, as well as students in Master 1 nanosciences and nanotechnologies (except CNE course).
A person will ask you for your choice at the entrance of the polling station.

1.2 - You wish to vote by proxy
A student may give a proxy to another student if he or she cannot attend the polling station on election day. The principal (the person giving the proxy) must:

Theuse of the nominative e-mail address issued by Aix-Marseille University (univ-amu.fr) is mandatory for the request of the online proxy form. The proxy will be sent to this same address.
First, the student must prove his or her identity by providing a scan or a photograph of a photo ID (national ID card, passport, driver's license, residence permit, etc.).
A numbered form is then sent by the administration by email.
The student must then fill out the form legibly and without erasure, sign it and send it back to the institution via a scan or a photo taken with his smartphone to the email address mentioned above (depending on his voting office).
The proxy must be registered in the same polling station and in the same college as the principal.
